Program Policies

1.  STANDARDS FOR CONDUCT

By registering for programs or booking reservations, our guests are agreeing to the following:
We expect coaches, players, parents of players and spectators to be considerate of others, display courteous behavior including appropriate language and exhibit a spirit of cooperation. Your presence at the USTA National Campus is a privilege to be respected and your cooperation in abiding by posted rules, signs, or verbal instructions from our professional staff is expected. Violation of these standards will not be tolerated and may result in removal from Campus programs and activities.

2.  PROGRAMMING WITHDRAWAL/REFUNDS

There will be no refunds/credits after a program’s start date OR after the first class has occurred when players register after a program start date. Exceptions may be made in instances of medical withdrawal or relocation (see below).

A. MEDICAL WITHDRAWAL: For circumstances due to long term injury or illness, please contact the Programming Department in writing to request your withdrawal. withdrawals will be granted for only classes forward. A credit will be placed on the family’s account to use towards future private lessons, court, reservations, or program registrations. Credits will not be given for classes that have passed; only classes moving forward.

i. A Doctor’s note from a medical professional will be required to process medical withdrawal credits.

ii. Requests must be submitted in writing to NationalCampusPrograms@usta.com and take 2-3 business days for review and processing.

B. RELOCATION: A player in an Instructional Clinic that is relocating and can no longer travel to the National Campus, with 30 days’ notice can request a prorated refund for classes not attended.

C. DROP-IN RESERVATIONS: Players may drop-in for available programs up to 1-week in advance of the program date. Players may cancel their reservation up until 24-hrs before the class time to avoid full charge on the program price. Cancellations attempted within 24-hrs of the class time are not eligible for refund. Drop-in registrations are not eligible for make-up classes if an absence occurs and their cancellation window has passed.

D. CAMP CANCELATION/MAKEUP: No make-ups for any missed portion, days, or weeks for adult or junior camps. The terms of cancelation are agreed upon in the terms and conditions when registering for the camp

iii. Private Team Camps once booked are non-refundable.

E. DAVE BAILEY CANCELATION POLICY: Prepaid clinics or camps scheduled with David Bailey are eligible for rescheduling when due to injury or illness. The amount paid will be credited to the account. Additional documentation may be requested to support the cancellation request. Private Lessons require 24 hr notice to avoid the lesson fee.

F. SPECIAL EVENT CANCELATION/REFUND: A National Campus Special event is any event outside of our regular programming schedule (holiday socials, campus tournaments, tournament prep, etc.). To cancel and receive a registration refund, a notice of cancelation is due 48 hrs in advance of the event start time. Cancellations requested after this time will be processed, but refunds will not be given. No exceptions.

PROGRAM/CLASS CHANGES

Players wishing to change their session registration after the program’s start date (OR after the first class has occurred when the player registers after the program start date) may do so if space is available in another program. An administrative fee of $20 will be applied to each class wishing to be changed. If space is not available in another class, the withdrawal policy applies. Exceptions will be made if the program’s Head Professional determines that the player has been placed in the incorrect level of a program.

PROGRAM MAKE-UP POLICY

The make-up policy does not apply to the following:

  • Classes canceled due to weather. Please see the “RAIN CREDITS'' section listed below.
  • Camps of any kind, programs classified as “Special Events” or Tournaments
  • Padel Programs

A. SPRING/FALL SESSION

i. TENNIS & PICKLEBALL: Players who have registered for full session programs will not be offered in-class makeups for missed classes. The student may participate in a "Makeup Program" scheduled on a day at the end of the session. Spaces will be limited. Credits, refunds, or carryovers will not be offered if you are unable to attend the makeup opportunity given or miss more than 1 class. This make-up policy does not apply to drop-in registrations. Drop-in registrations are not eligible for make-up classes if an absence occurs.
Players must register in advance. Please email NationalCampusPrograms@usta.com. Requests will not be taken over the phone.

ii. PADEL: There are no make-ups for missed padel classes. Credits for unplayed padel league matches will not carry over to the next month’s league.

B. SUMMER SESSIONS

i. ALL SPORTS: There are no make-ups for missed classes during the summer sessions. Players will not be eligible for in-class makeup at another time.

RAIN CREDITS & REFUNDS DUE TO WEATHER

In instances of weather, the National Campus will attempt to notify players at least 1 hour in advance if a program is canceled. Notifications are distributed in text messages and emails.

A. SESSION REGISTRATIONS: Players registered for the session will receive a rain credit for classes that have been canceled or partially canceled due to weather. Rain Credit Schedule below. Credits are processed on the next office business day and are applied to the family account. Credits may be used towards future program registrations, private lessons, or court reservations.

B. DROP-IN REGISTRATIONS: Players registered as a drop-in for an individual class will receive a refund to their original form of payment if the has been canceled or partially canceled due to weather. Rain Credit Schedule below. Credits are processed on the next office business day and are applied to the player’s original form of payment. 

C. HURRICANES/EXTREME WEATHER: If it is determined that the National Campus will be CLOSED IN ADVANCE for weather due to Hurricanes or other extreme weather, players will be refunded to their original form of payment for classes canceled.

D. COURT RESERVATIONS: Court reservations are preauthorizations. If a weather event occurred, the reservation’s settlement amount will adjust according to the Rain Credit Schedule below.

E. RAIN CREDIT/REFUND SCHEDULE:

i. If less than one-third of the program or reservation has been completed, a full refund/credit will be given for the value of the reservation/program date

ii. If one-third to two-thirds of the program or reservation has been completed, a half refund/credit will be given for the value of the reservation/program date.

iii. If more than two-thirds of the program or reservation has been completed, there will be no refund/credit

PRIVATE LESSON & RESERVATION CANCELLATIONS

A. Private and small group lessons may be canceled without penalty up to 24 hours in advance of the reservation time. Cancellations less than 24 hours in advance will incur the full lesson charge. Same-day lesson reservations are not eligible for a refund if canceled

B. Court reservations may be canceled without penalty up to 24 hours in advance of the reservation time. Cancellations less than 24 hours in advance will incur the full court charge. Same-day reservations are not eligible for a refund if canceled.

JUNIOR PROGRAMS - MOVE UP

A. Please read the following rules and procedures for information regarding Junior Player Move Up Policies:

B. Players are required to meet certain competencies in order to move up a level.
National Campus evaluates players 3 times per year for potential pathway promotion. During the approximate time frames of August, December and May.

C. National Campus expects to have players in classes that can beat players from the higher level class. Match score is not always an indicator of readiness to move to the next level of play.

D. National Campus does not move players based on wins. Technical deficiencies such as grips and swing patterns will be taken into consideration.

E. Top players in a class will not automatically be promoted to a higher level class.

F. No child can be moved up without the approval of the Head Professionals. Only the tennis teaching professionals can promote a player to the next level, not the player or the parent. The team of National Campus tennis professionals meets to discuss all players skills, progress and technique. Other player aspects taken into consideration are age, coachability, maturity, level of commitment, ability.

G. Parents and players will be notified prior to the move up months via email from the Head Professionals.

PROGRAM LOCATION & TEACHING PROFESSIONAL ASSIGNMENTS

A. Program and court locations will be moved throughout the session. Players should anticipate their programs/reservations being in a different location weekly. Players are required to check-in at the front desk for court location.

B. Teaching pros assignments for classes are subject to change. A player’s participation in the program may not be contingent on the coach assigned.

LIGHTNING/DANGEROUS WEATHER IN THE AREA

When the lightning alarm sounds, players should evacuate the courts and move to official shelter areas. Players may not leave shelter areas until the “ALL CLEAR” has sounded
